We are seeking a reliable and detail-oriented Accounts and Office Administrator to assist with our daily finance & general office operations with integrity and high efficiency. You shall oversee the transactional accounting cycles (AR, AP, GL), maintain accurate financial and administrative records, oversee general office management and ensure strict adherence to internal policies and regulatory compliance.

Job Description
Responsibilities
Accounts Administration
- Support day-to-day Accounts Payable (AP) and Accounts Receivable (AR) transactions and postings.
- Verify and ensure shipping documents received matches billings from vendors and ready for payment preparation.
- Support payment processing tracking, and recording of transactions.
- Review and prepare employees’ expense and claim submissions for approval and processing.
- Maintain proper filing of all finance & accounting documents’ filing both digitally and physically.
- Assist on month end closing preparation.
- Support on annual audit preparation.
Office Management
- Oversee the general maintenance and housekeeping of the office premises and equipment.
- Manage, track and update all IT and office assets registers promptly.
- Monitor office supplies usage and procure office equipments & pantry supplies when necessary.
- Uphold workplace health & safety standards and ensure compliance by all employees.
- Assist with all company’s certification related administrative tasks for ISO, BizSAFE and workplace health and safety as assigned.
- Work closely with HR team in the coordination and logistics arrangement for all company and HR events, including town halls, festive celebrations, engagement activities and in-house training sessions.
- Prepare and update all office and workplace health related reports, announcements and promotional materials.
- Assist with all other ad-hoc office administrative tasks as assigned.
Qualifications
- Education: Diploma or Bachelor’s degree in Business Administration, Accounting, Finance, or a related field (LCCI,ACCA, or equivalent)
- Experience:
- Minimum 1-3 years of relevant accounts administration/ finance support experience.
- Prior experience in office management will be an added advantage.
- Software Proficiency:
- Hands-on experience with ERP systems eg. MYOB, Xero, Microsoft Dynamics 365 Business Central is preferred.
- Proficient in Microsoft Office (especially Excel) or Google Workspace.
- Compliance: Knowledge of local tax and accounting regulations.
- Knowledge or prior exposure to industry’s certification standards is a plus (e.g. ISO, BizSAFE, WSH)
- Skills & Competencies:
- Adaptability: Ability to switch between responsibilities when required and work in a fast-paced SME environment.
- Detail Orientation: Exceptional attention to detail and commitment to maintaining data accuracy and clean ledger books.
- Data & Process Management: Demonstrated ability to document, simplify, and comply with existing processes for efficiency.
- Composure Under Pressure: Proven ability to manage high-volume transaction loads and critical deadlines calmly and effectively.
- Communication & Interpersonal Skills: Strong ability to communicate clearly in both writing and verbal to iterate Finance & Office Policies to employees across departments. Able to handle confidential information with professionalism.
